Folders

Knowledge can be organized hierarchically with folders. Folders and files live in a single list, sorted together.
  • Create folders with “New folder” in the “Add source” menu in the page header, or by right-clicking a blank area of the list. “New subfolder” on a folder’s menu creates one inside it
  • Expand a folder in place with the chevron at the start of its row — its contents appear indented underneath, without leaving the level
  • Open a folder (double-click) to make its contents the list. A breadcrumb starting at “Workspace” appears above the list to walk back out; when the trail gets long, the middle folds into a menu. On a touch screen there is no chevron and a single tap opens the folder
  • Move sources with “Move to folder,” or by dragging them onto a folder. Folders themselves move from their own menu (“Move to folder”), not by dragging
  • Rename or delete a folder from its menu
Deleting a folder permanently deletes the folder, all of its subfolders, and every source inside. This cannot be undone. If agents use the folder’s contents — attached directly or via folder auto-sync — the confirmation dialog lists the affected agents before you confirm.

Multi-select and bulk operations

In the desktop layout you can select multiple items — folders included — and operate on them at once. Click to select, toggle with ⌘ / Ctrl, select a range with Shift, or drag a rubber-band over the list; Esc clears the selection.
  • Move — move the whole selection to another folder. Drag and drop works too: dropping a selected row onto a folder moves the entire selection in one gesture, and the drag ghost shows how many items are moving. Dropping onto a file row instead means “put it where that file lives” — which is how you move something back out to the top level — and the whole destination level is highlighted while you drag
  • Delete — remove the whole selection with a single confirmation. If the selection includes items or folders that agents use, the affected agents are listed first
  • Download — download the selection as a ZIP (workspace knowledge only)
In an agent’s Knowledge section (configuration panel), the agent’s own folders can join the selection the same way for moving and deleting; folders mirrored from the workspace stay read-only.

Same-name collisions when moving

If files you are moving collide with same-name files already in the destination folder, a confirmation dialog asks how to handle all of them at once:
  • Keep both — the moved files are saved under a new name
  • Overwrite — the existing files’ content is discarded
  • Cancel — the colliding files stay where they are; everything else still moves

Organizing from chat

You can also tidy up knowledge by asking the AI in chat — “Move the onboarding docs into the HR folder” or “Rename this file to 2026 price list.”
  • Moving and renaming works for both sources and folders, and applies immediately — to reverse a move, just ask again
  • Naming a destination folder that doesn’t exist yet creates it
  • Deleting is not available from chat — use the Knowledge page

Downloading

  • Single file — “Download” in the item’s context menu, or from the detail panel
  • Multiple items — select two or more (folders can be part of the selection) and press “Download” in the bulk toolbar to receive one ZIP
  • Folder — “Download” on the folder’s menu zips the folder’s entire contents, subfolders included, preserving the folder structure
ZIP downloads (multi-select and folder) are available in workspace knowledge only — not in an agent’s Knowledge section — with a limit of 500 files / 200 MB total per archive.

Folder auto-sync (agent attachment)

When attaching knowledge to an agent, you can sync a folder wholesale.
  • Folders set to auto-sync show an “Auto-synced” badge
  • Files added to the folder later are automatically reflected in the agent
  • Stop syncing” on the folder’s menu removes the sync and detaches all items that came from that folder
  • Agents that auto-sync a folder count toward the “Used by” figure shown in each item’s preview, and are included in delete warnings
Auto-sync your “Sales materials” folder to a Sales agent, and the agent will always see the latest content — just drop new files into the folder.

Type icons

Each row shows the file-type icon for its content — the same artwork the AI’s knowledge-search results use — and the “Type” column names the kind in words (Document / PDF / Spreadsheet / Slides / Image / Code / Text / Archive / File). URLs and Notion pages take the plain page icon and are named by their source type. The list’s columns are “Name,” “Type,” “Size,” and “Updated”; clicking the “Name” header flips the sort order, and folders and files sort together as one list. A narrow list drops the right-hand columns and folds their values onto a second line under the name.

The auto-load limit

There is a limit on how many knowledge sources are loaded automatically when a chat is created.
  • Sources beyond the limit show an “Auto-load off” badge
  • They are not loaded automatically, but the AI can still retrieve them via search when needed
A good pattern: attach a small, curated set of must-read documents so they always load, and sync reference material by the folder so the AI pulls it in via search.

Search and preview

  • Use the search box at the top to find files and folders by name. The search filters the list in place and is scoped to the folder you are in: folders on the way to a hit open automatically, and the footer reports “N matches.” Once you have opened a folder, a “Search everywhere (N)” link appears with the total across the whole workspace — click it to widen the search back out
  • Selecting a source shows it in the preview column beside the list, with its sync status, size, folder, who last updated it (“Updated by”), and how many agents it is “Used by”
  • Items whose content cannot be previewed show “Preview is not available for this item.” instead
  • Drag the divider between the list and the preview to resize the list; double-click the divider to reset it, or move it with the arrow keys once it has focus. Your choice is remembered on that device. When the window is too narrow for both columns, the list takes the full width and the preview opens as a drawer over it
  • With nothing selected the preview reads “No knowledge selected,” and the footer counts what you are looking at — “N folders · N documents”
